Tenant Referrals

You have empty rooms. We have a steady pipeline of tenants looking for them. Send us your voids list and we'll fill it — you only pay when someone actually signs.

How it works

  1. You send us your voids list — the rooms you need filling, updated as often as you like.
  2. We match tenants from our pipeline and send you qualified leads.
  3. A viewing is booked. At this point a refundable deposit is held against your account.
  4. The tenant attends, signs up and moves in. The deposit converts to the placement fee.
  5. No sign-up? The deposit is released back to you, usually within minutes of us triggering it.

Terms. The fee is payable by the housing provider or agency — never by the tenant. Retention of the tenant after move-in is entirely the responsibility of the housing provider. If a tenant leaves after moving in, the placement fee is non-refundable. All referred tenants are assessed by Homes With Hearts before any documents are signed; we reserve the right to decline a placement following that assessment, regardless of the risk levels indicated below.

Last updated August 2026. This notice explains what we collect, why, and what rights you have. It applies to tenants, landlords, and the agencies and providers we work with.

Who we are

Homes With Hearts Limited, a supported accommodation provider based in Birmingham, UK. We are the data controller for the information described in this notice. You can contact us on 0121 769 3484.

What we collect

Depending on which form you use, this may include your name, phone number, email, property or home address, benefit type, support needs, and any details you choose to add in a message field. Landlords and agencies may also share property, portfolio and business details.

Why we collect it

  • To respond to your enquiry and arrange a room, viewing or service
  • To manage a tenancy, landlord agreement or provider partnership
  • To meet our legal and regulatory obligations, including reporting to local authorities where required
  • To send you updates, but only if you've ticked the marketing box — never otherwise

Our legal basis

We rely on your consent for enquiries and marketing, on contract where we're providing accommodation or a service, and on legitimate interest for basic record-keeping and fraud prevention. You can withdraw consent at any time — see "Your rights" below.

Who we share it with

We don't sell your data. We may share relevant details with local authorities (including Birmingham City Council) where legally required, with landlords or agencies directly connected to your tenancy or referral, and with service providers who help us operate — such as our form and hosting providers — under their own confidentiality obligations.

How long we keep it

Enquiry details are kept for up to 12 months if nothing further happens. Tenancy, landlord and provider records are kept for the duration of the relationship plus 6 years afterwards, in line with standard UK record-keeping requirements.

Your rights

You can ask us to access, correct, delete or restrict your data, or object to how we use it, at any time — call us or use any enquiry form. If you're not satisfied with our response, you can complain to the Information Commissioner's Office at ico.org.uk.

Cookies

This site does not use tracking or advertising cookies. It only stores what's needed to submit a form, which happens when you choose to send one.
